Key Benefits for SASPs
AI and Automation!
Why SASPs Should Invest in This System
The Federal Surplus Property System transforms SASP operations by consolidating all data—Donee profiles, SF123s, inventory, invoices, and compliance records—into a single, accessible database. Its automations eliminate repetitive tasks, such as manual eligibility checks, invoice generation, accounts receivable and report creation, saving countless hours. Built-in accuracy features, like searchable records, signature capture, and GSA-compliant reporting, reduce errors and ensure audit readiness. In addition to self-service sales, the public Donee Portal empowers Donees to self-manage invoices, pickups, and compliance, further reducing SASP workload. By adopting this system, SASPs can enhance operational efficiency, improve service delivery to Donees, and confidently meet GSA Audit requirements, all while saving time and resources.

There are three possibilities for transferring data from your current program into the Web Data Federal Surplus System.
If your federal surplus data is stored in a structured database, you will be able to export the data columns necessary for
import into the Web Data Federal Surplus System by querying the respective tables in your system and copying/pasting results
into these Excel files which can be downloaded here.
If your federal surplus data is not stored in a structured database but you have various aspects of it in Excel or other types of files,
you can query those files and copy/paste the data into the above referenced Excel files.
If you have no system and are managing your federal surplus program in a combination of Word and Excel, but do not have exportable data sets
to populate the above referenced Excel files, you can enter your Donee profiles directly into the Federal Surplus application on an "as-needed"
basis, download SF123 Transfer Orders and receive the property into inventory, then generate Donee invoices. Essentially, re-creating your open
invoices in the Web Data Federal Surplus.
Once we have your files, we will create scripts to import them into the Web Data Federal Surplus System and provide you with a link and login
to access your data.
Hosting
If you are planning to move to a production system, it is recommended to host the application on Web Data’s secure servers (we host other SASPs).
This allows us quick access to your website and database in the event an issue arises which needs our intervention.
Purchasing
Your purchasing department can purchase a license for the Web Data Federal Surplus System through SHI.com. This avoids having to issue an RFP and
is a viable alternative to purchasing an application from Sam.gov.

AssetWorks/Recoup has a utility to export all your data from their surplus property database in a standard format. You may have to ask them to do
this for you, but it is also possible they can provide this facility in your version of their system.
These are all the table names that are exported from AssetWorks. You’ll notice that each file has a date/timestamp appended to its name.

We will import the data and send you a link to login and view the results. After 10 days, we will delete the data and send an affidavit
confirming we no longer have possession of your data. Please refer to our privacy statement with respect to protection of your data.
Purchasing
If you subsequently decide to purchase the application, you can ask your purchasing department to acquire it through SHI.com or to purchase

Offering State and University Surplus Property Management Software since 2004. Federal Surplus Software since 2008.
Web Data Corporation was incorporated in California on February 5th, 1998. Prior to that, Gordon Bennett had been developing browser-
based web applications for a variety of businesses and local government entities. At that time, Gordon and his wife, Melinda, were living
in La Jolla, California. After moving to Tucson, Arizona, for family reasons in 2002, the company won a bid to develop a Surplus Property
Management System for the University of Arizona. Custom versions of that application were later sold to other universities and state agencies
for surplus property (SASPs). The SASPs were consistently asking for a federal surplus management system, and in 2008 the company developed
its first Federal Surplus Property version which was launched by the Commonwealth of Kentucky.
Since that time, the application has undergone continual improvement, and as each new SASP acquired the software, special customizations
were developed as requested. Cumulatively, these customizations have been merged into the “Ultimate Version" which includes complete
automation of every process needed in the transfer of property from the GSA to Donees.
Gordon and Melinda Bennett are the company owners, and a small, dedicated group of three developers manage all new development, customer
customizations and technical support.
As a small business, essentially a one-man band, it is vital that our customers receive continued support for the next 30 years and beyond,
which is the minimum expected lifespan of the latest versions of our applications. To that end, the company has developed a succession plan
which is available for download on this website.
